SHW Group LLP, a nationally recognized leader in the planning and design of educational facilities, has an immediate opening for an Administrative Assistant position in our San Antonio, TX office.
Responsibilities
- Works with limited supervision providing administrative and personal assistance, scheduling and coordinating meetings and other events, communicating and coordinating business related commitments with clients, associates and internal managers and staff
- Answer phones and greet clients
- Maintains complete confidentiality of information and documents pertaining to company business
- Prepares AIA contracts
- Coordinate travel planning and arrangements
- Distribute mail and shipping and receiving
- Order office supplies
- Composes correspondence
- General administrative and facility support
- Experience with Microsoft Excel spreadsheets
- Prepares invoices
Job Requirements
Experience/Abilities
- Ability to take charge of unforeseen situations, problems and schedule changes
- Must be accurate, detail-oriented and organized with follow-through abilities
- Must have the ability to take and transcribe notes and punch lists
- Must have excellent communication skills, written and spoken
- Must have the ability to multi-task and handle a wide variety of assignments
- Must have the ability to prioritize assignments and meet established deadlines
- Must have the ability to work independently and manage multiple projects simultaneously
- Working knowledge of Microsoft Word, Excel, PowerPoint, Access
- Working knowledge of AIA software and ability to prepare AIA contract documents
- Exhibits the ability and willingness to accept new assignments and tasks willingly
- Must have the ability to develop various charts, spreadsheets, forms, flowcharts, graphs, etc.
- Prior architectural or construction industry experience required
Education
- High school diploma or equivalent
- Five years administrative experience in a corporate, professional services environment
