The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people.
The ability to interact with internal and external contacts (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
Job Responsibilities of Executive Administrative Assistant:
- Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
- Communicate and handle incoming and outgoing electronic communications on behalf of the Managing Director .
- Notates and prepares confidential correspondence, reports and other complex documents.
- Performs complex and confidential secretarial functions including but not limited to other duties as assigned. Type’s memos, purchase requisitions, payment requests and other department forms and documents warranted to execute effective administration for the President.
- Creates and maintains database and spreadsheet files.
- Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings.
- Maintains confidentiality of all corporate, personnel and research matters.
- Performs other duties as assigned.
Job Requirements
Requirements of Administrative Assistant:
1. At least two years’ progressive experience providing administrative support in a fast paced environment.
2. Proficient in computer skills, such as Microsoft Office (including, Microsoft Word, Excel, and Outlook) Some experience in QuickBooks preferred.
3. Superior communication skills, both written and oral to effectively communicate with all employee levels within the Company. Professional telephone manner.
4. Problem-solving and analytical skills. Ability to handle multiple tasks, while maintaining attention to detail.
5. Excellent organizational abilities.
6. Experience handling the scheduling of conference calls and meetings, including travel arrangements.
7. Ability to keep ACCURATE records
8. Ability to work independently and willingness to learn
9. High school graduate and two (2) year associates' degree or equivalent required; College degree preferred
