Seeking Experienced, Detailed Oriented Executive Assistant

 

 

 

Life Extension Foundation Buyers Club is the largest organization in the world dedicated to scientific research and providing cutting edge information while developing high quality nutritional products that promote health and wellness.

 

Overall Description
The position will fulfill an executive support role primarily for the Chief Executive Officer, General Counsel, Corporate Owners, and other Executive Leaders.  

The Executive Assistant will provide confidential business administration and logistical support to these officers on a daily basis to include correspondence, maintaining filing, coordinating meeting and travel schedules, answering calls, etc.  To be successful, the ideal candidate must be proactive, flexible, and able to handle multiple projects.

 

Job Description

·        Serves as a point of contact both in the office and on the telephone, including: screening phone calls, ensuring messages are communicated to the appropriate staff, and following up with inquiries, when appropriate.

·        Schedules appointments using Outlook.

·        Composes and/or proofreads correspondence and takes responsibility for accuracy of final product including faxing, photocopying, mailing, etc when appropriate.

·        Excellent communication skills and ability to communicate to with all levels of employees.

·        Creates and maintains filing systems.

·        Assists with research and compiles data, as needed.

·        Coordinates travel arrangements.

·        Provides meeting, conference, and special event coordination, including: reserving conference rooms, teleconference setup, video conference setup, email announcement to meeting participants, procurement of audio/visual aids, and food and beverage service.

·        Works under little supervision and must be a self starter.

·        Special projects as assigned.

Job Requirements

Candidate Requirements

·        Bachelor's degree from a four-year college or university and/or 4 years related experience; or equivalent combination of education and experience.

·        An ability to handle confidential material in a timely professional manner.

·        A winning attitude and a desire to go to the extra mile.

·        Exemplary organizational and analytical skills to handle multiple projects.

·        Advanced levels of Microsoft Office Suite software.

·        Previous experience in providing administrative/personal assistance to multiple Executives.

·        Experience in the legal industry is a plus!
