Job Description

Job Title:   Executive Assistant

Reports to: CEO/President/CSO
Hours â€" 7:30 AM to 5:30 PM; Dress â€" Business

 

Description of Job: 

The Executive Assistant’s primary function is to enhance the executive's effectiveness by providing information management support and representing the Executives to others.

 

As the “face" of the Executives, the Executive Assistant must exhibit a positive attitude and professional demeanor.  Personal appearance must be neat and well-groomed.

 

Responsibilities / Duties:

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems; records meeting discussions.
  • Manages inventory of supplies; evaluates new office products; places and expedites orders for supplies; verifies receipt of supplies.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.


Job Requirements

Skills/Qualifications:

  • Must exhibit proficiency in: Administrative Writing Skills, Reporting Skills, Supply Management, Scheduling, Microsoft Office, Organizational Skills, Time Management, Presentation Skills, Travel Logistics and Verbal Communication

Requirements:

  • 5 years experience

  • Minimum 2-year College degree
