Job Description

Executive Assistant

 

Reporting directly to the CEO, the ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small, but growing office of diverse people and programs.

 

Interact with staff and joint venture partners at all levels in a fast paced environment, sometimes under pressure while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.

 

Responsibilities:

  • Support the CEO in all administrative needs including expense reporting

  • Heavy calendar management of the office, coordinating a variety of complex executive meetings including Board and Audit Committee meetings

  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently

  • Handle all incoming and outgoing company correspondence via fax, email, overnight and standard mail

  • Assist management team with preparation of presentation materials

  • Establish vendor accounts and maintain relations to ensure a smooth office operation

  • Arrange travel schedule and reservations for executive management as needed

  • Assist the Marketing team with conferences and marketing materials

  • Maintain office files

  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner

 


Job Requirements

  • 8+ years experience supporting at the executive level 

  • Excellent communication skills with the ability to communicate at the executive level

  • Advanced knowledge of MS Office, including Word, Excel, PowerPoint and Outlook

  • Experience scheduling domestic and overseas travel arrangements for management

  • Strong organizational skills with the ability to prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner

  • Ability to handle multiple reporting lines

  • Self motivated, innovative and hard working with strong decision making abilities

  • Bachelor’s degree preferred

  • Experience in Financial Service or sales/marketing environment a plus

  • Experience in successfully creating and/or modifying processes

  • Executive level experience in supporting “C Suite" professionals preferred



This position will be based in Manhattan
