Executive Assistant
Reporting directly to the CEO, the ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small, but growing office of diverse people and programs.
Interact with staff and joint venture partners at all levels in a fast paced environment, sometimes under pressure while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
Responsibilities:

Support the CEO in all administrative needs including expense reporting

Heavy calendar management of the office, coordinating a variety of complex executive meetings including Board and Audit Committee meetings

Answer phones and direct all incoming calls to appropriate party promptly and efficiently

Handle all incoming and outgoing company correspondence via fax, email, overnight and standard mail

Assist management team with preparation of presentation materials

Establish vendor accounts and maintain relations to ensure a smooth office operation

Arrange travel schedule and reservations for executive management as needed

Assist the Marketing team with conferences and marketing materials

Maintain office files
-
Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
Job Requirements

Excellent communication skills with the ability to communicate at the executive level

Advanced knowledge of MS Office, including Word, Excel, PowerPoint and Outlook

Experience scheduling domestic and overseas travel arrangements for management

Strong organizational skills with the ability to prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner

Ability to handle multiple reporting lines

Self motivated, innovative and hard working with strong decision making abilities

Bachelor’s degree preferred
-
Experience in Financial Service or sales/marketing environment a plus
-
Experience in successfully creating and/or modifying processes
-
Executive level experience in supporting “C Suite" professionals preferred
This position will be based in Manhattan
