Job Description
Private Foundation on the Upper East Side seeks Facility Manager who will be responsible for general security and site supervision, building maintenance (indoor and outdoor), and management and administration of inventory lists of all physical equipment, furniture, tools, office supplies, etc. Complete details of the Facility Manager’s responsibilities are:
• General Security and Site Supervision
1. Ensure that the building is always securely locked
2. Oversee all significant deliveries to the building (furniture, artwork, office supplies, etc.)
3. Oversee all visits and work down by service providers, contractors and subcontractors, including ConEdison, Verizon, TimeWarner, ADT, Department of Environmental Protection, NYC Fire Marshall, 19th Police Precinct, Panelite, Skyline, Wise Construction, Rose Demolition, AV&C, Datagram, various meter readings, etc.
4. Monitor the door and all visitors during staff meetings and lunches
5. Help to maintain security of the building during special events, provide staff presence
6. Supervise and coordinate the schedule of the outdoor and indoor cleaning companies and monitor their performance
• Daily Indoor Building Maintenance
1. Check the inside and outside of the building everyday
2. Check doors, windows, locks, ADT security system, electricity, water, heating/air-conditioning system, refrigerators, stoves, dishwashers, vacuum cleaners, Xerox machine, paper shredder and other misc. equipment and appliances
3. Perform or organize repairs as needed
4. Check cleanliness of the building and perform some cleaning on days without the cleaning service
5. Clean rarely used spaces
6. Responsible for recycling and garbage removal for the entire building, ensure that the garbage is removed from all bins each night
7. Put out garbage and recycling three nights (or early mornings) each week for collection
8. Ensure that bathrooms are clean, have toilet paper, paper towels and soap
9. Ensure that the staff kitchens/refrigerators are properly maintained, cleaned, have power towels, soap, dishwasher detergents and that the staff knows how to operate the kitchen equipment
10. Lift and carry to the supply room heavy water bottles after delivery, and change bottle in the water cooler
11. Lift and carry heavy packages and deliveries
12. Maintain the basement storage/boiler room, ensure that all combustible materials are removed and stored elsewhere
13. Bring rain/snow mat(s) out as needed from the basement storage and keep them clean
14. Maintain the light wood floor on the main floor
15. Supervise and monitor the indoor cleaning crews
• Daily Outdoor Building Maintenance
1. Everyday, check the sidewalk, roof, large front terrace, two rear terraces, and the basement access-way
2. Maintain cleanliness of the sidewalk, street, and area around tree each day
3. Hose down and scrub the sidewalk when necessary
4. If necessary, remove snow and salt the sidewalk and terraces
5. Maintain the roof, two terraces ,and access-way by keeping them swept clean
6. Keep all drains clear and free of leaves and debris
7. Clean the metal louvers surrounding the air-conditioning unit, the wall, and the stone pavement
8. Maintain the terrace on the main floor and sweet it clean
9. Maintain and clean exterior signage plates, parking sign, doorknobs, garbage grates, window grates, steps, curb, etc.
10. Contact the 19th Police Precinct when parking is violated
• Other General Maintenance
1. Perform general preventive maintenance on all building and safety systems
2. Perform small maintenance tasks (light bulbs and fixture installation, drain stoppage, small paint repairs, patching, tasks which require the use of light power tools, hand drills, etc.)
3. Leak prevention
4. Hang pictures
5. Deal with facility-related emergencies (heat loss, leaks, frozen pipes, etc.)
6. Perform maintenance repairs requested by staff
7. Ensure that the staff adheres to all fire, security, safety, and recycling regulations
• Special Events Support
1. Help to organize special events on premises
2. Supervise deliveries, outside contractors, caterers during special events
3. Provide additional staff presence during events
4. Help to set up equipment needed for special events (screening equipment, chairs, etc.)
5. Ensure that all visitors leave and that the building is securely locked following events
6. Supervise removal of the garbage after events, and ensure that recycling regulations are followed
• Supply Inventory
1. Prepare and maintain the inventory of all physical equipment, furniture, electronic and other equipment (computers, telephone, small electrical equipment, tools, ladders, Arakawa hanging systems, etc.)
2. Annually update inventory list(s)
3. Label and keep an inventory of keys to the building and the offices
4. Maintain key system and security of the building
5. Prepare a list of light bulb brands used in the building and oversee their maintenance
6. Prepare and maintain lists of cleaning supplies needed for the building (i.e. for the garbage collection, snow removal, cleaning, replacement parts, etc.)
7. Recommend and justify new equipment acquisition as needed
8. Keep a list of supplies, help to procureâ€"online or in local storesâ€"all supplies necessary for the maintenance and functioning of the building (i.e. approved garbage bags and biodegradable string, cleaning supplies, vacuum cleaner bags, detergents, paper products, various light bulbs, tools, etc.)
9. Pack parcels and carry parcels to the US Post Office, UPS or FedEx as needed
10. Buy stamps as needed
11. Keep kitchens stocked with water, milk and coffee
• Other General Duties
1. All staff members are expected to help cover the reception desk and greet visitors as needed
2. All staff members are expected to ensure that all mail sent is handled in a professional and accurate manner
3. All staff members are expected to perform additional duties as assigned
Maintaining a convivial atmosphere and cooperative spirit at the workplace is highly desirable
Job Requirements
• A successful candidate should have working knowledge of maintenance and building operation, including New York City building and safety codes, policies, regulations, and procedures. Working knowledge of shop equipment and tool use, safety and maintenance is a must. The position requires the ability to work independently and within a team environment. Strong interpersonal skills are very important.
• The candidate should be Mac OS computer literate and able to compile and maintain inventory lists (detailed knowledge of Mac computers and facility with applications such as Word, Excel, PowerPoint, Internet navigation/search functions, and calendar and database programs is strongly preferred).
• The person should be capable of lifting 35 lbs. and able to work in the evening and some weekends as needed.
• Candidates must be willing to submit to a background check.
