Manager of Administration

A specialty testing laboratory specializing in the fields of allergy, immunology and nutrition is currently seeking a Manager of Administration to join their team of professionals in Ft. Lauderdale, Fl.


The Manager of Administration will plan and administer policies relating to all phases of human resources activity and will be the Executive Assistant to the president of the company.

 

Job Responsibilities:

 

  • Administratively assists daily activities and projects for the President
  • Prepare necessary business correspondence and documents
  • Manage calendar to set appointments and rearrange schedules as necessary
  • Arrange travel, including travel documents and expense reports
  • Responsible for phone line coverage
  • Prepares memorandums outlining and explaining administrative procedures and policies to department managers and monitors compliance
  • Assists in the administration of the employee performance appraisal system
  • Develops, posts and advertises position vacancies, recruits, interviews, and assists in the selection of employees to fill vacant positions
  • Conducts or arranges for oral interviews, written or assessment examinations, and skills, intelligence and/or psychological testing of applicants
  • Evaluates selection and placement techniques by conducting research or follow up activities and conferring with management personnel, as well as conducting background and reference checks on candidates
  • Plans and conducts new employee orientation to foster positive attitude toward the organizations goals
  • Records employee information such as personal data, compensation, benefits, tax data, attendance, performance reviews or evaluations, and termination data and reason
  • Creates and maintains database and spreadsheet files; Compiles data from personnel records and prepares reports
  • Processes bi-weekly payroll for regular employees and a monthly payroll for 1099 contractors
  • Prepares/administers and distributes written and verbal information to inform employees of benefits programs such as insurance plans, pension plans, paid time off, bonus pay, sick leave, and special employer sponsored activities
  • Prepares and files reports of accidents at establishment
  • Analyzes and evaluates services, coverage and options available through insurance to determine programs best meeting needs or organization and makes recommendations to management
  • Evaluates human relations and work related problems and meets with managers to determine effective remediation techniques, such as job skill training intervention, to resolve human relations issues among personnel
  • Plans and coordinates the annual company holiday party
  • Practices compliance with company policies and HIPAA regulations
  • Performs other duties as may be assigned or required


Job Requirements


  • A Bachelor’s degree from a four year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience
  • Must be proficient in MS Office -Microsoft Word, Excel, PowerPoint
  • Possesses a working knowledge of administrative, budget and financial systems
  • Experience with ADP payroll processing a plus
  • Demonstrates assertiveness, initiative and ability to work towards and meet deadlines
  • Demonstrates the ability to interpret and apply policy and procedure
  • Demonstrates the ability to maintain confidentiality, diplomacy and discretion in all dealings with clients and staff
  • Possesses highly developed interpersonal skills and communications skills with the capacity to cooperate and build constructive relationships at all levels of interaction, both internal and external to the company
  • Demonstrates a high level of organizational skills including experience in meeting and travel planning, research, prioritizing and coordinating schedules and resources on a broad range of tasks
  • Demonstrate an ability to operate independently and with a team
  • Communicates effectively with everyone, exhibiting professional, positive, diplomatic, tactful discretion and judgment
