The Office Manager is responsible for the management of the administrative functions and daily operations of Quality Progressions. Must be knowledgeable in the area of Information Technology. The employee will act as liaison to consultants and external services to assure I.T. functions are completed in the best interest of Quality Progressions. The employee will supervise employees performing administrative functions. The position will be performed consistently with the values, principles, and philosophy of The Philadelphia Office of MRS, Pa.’s Multi-Year Plan, The Everyday Lives Publications, and of Quality Progressions and all applicable policies and procedures. All decisions and actions of the employee will be consistent with the agency mission statement and will be completed with a customer service focus. The employee must be proficient in the use of computers and with HCSIS.
Responsibilities
1. With the Program Director, acts in the absence of the Chief Executive Officer on urgent matters. Provides Administrative support to the Executive Director, Corporate Board of Directors and Management Staff.
2. Assures that all activities and decisions regarding operations of Quality Progressions reflect adherence to all standards and policies of Quality Progressions, Philadelphia MRS, and The Commonwealth of PA. and CMS.
3. Performs emergency duties as requested in the best interest of Quality Progressions and health and welfare of the service recipients and employees.
4. Manages and coordinates Information Technology and acts as liaison with I. T. consultant. Responding to service issues as they arise, attempting to resolve computer/networks issues prior to contacting vendor to correct the issue.
5. Responsible for the office and workflow management.
6. Management of purchasing of office supplies and equipment.
7. Assures that the Support Coordination staff and management have available the necessary work conditions, materials and operations to support their duties in the best interest of the consumers of service.
8. Assists the management of Quality Progressions in various administrative duties.
9. Assures that all decisions are customer focused, to the benefit of the supported people, and towards staff development.
10. Assures that all activities of the agency are reflecting the mission, values, and quality standards.
11. Takes initiative and exhibits leadership.
Supervisory Responsibilities
1. Develop and maintain an effective company through the selection, termination, training, compensation review and motivation of Administrative Support Staff.
2. Develop and maintain a program for high performance standards and sound employee relations at all levels of the company.
